Grant information for the organization is configured in the Settings > System > Business Rules > Grants tab.
Grant Types
Use the Grant Types section to define custom grant types and set associated default fields. The section displays existing grant types for the organization.
Grant types can be defined for each system grant type including code values, payment types, default workflow template, and manager. Grant types are used throughout the system for categorizing grants, filtering, sorting, and are used within reports and queries.
To edit an existing grant type, click the Open button to the left of the grant type.
To add a new grant type, click the + button in the top left corner of the Grant Types section.
Tip:
Grant type names and codes must be unique. If the same grant type name needs to be reused, add a number to distinguish between the types. For example, “Desingated1” and “Designated2”.
Grant Type Details
When a grant type is added or edited, the Grant Type Details display.
Code - The code consists of up to four alpha characters and is associated with a specific grant type. In the image above, 'D' is the code used for Designated grants.
Type name - The name used for the grant type.
System Type - Indicates which record type to associate with this grant type. In the image above, Designated grants are set to use the Standard Grant record type in FCG. Available values are Standard Grant, Scholarship, Interfund Transfer, Project.
Payment Type - Indicates the default payment method for the grant type.
Workflow Template - The workflow template to associate with the grant type.
Profile Page - The value selected here determines which page of Custom Fields is opened, by default, for the specific grant type.
Manager - A default manager can be assigned to the grant type by selecting their name from the dropdown list. All new grants are assigned the default manager by default. To change the manager, click inside the field and select from the dropdown list.
Active - When filled, this checkbox indicates the grant type is active and available for use.
Grant Type Defaults
Grant type defaults are configured in the four fields below the Grant Types table. These fields are used to set default codes for specific grant types. Example: When Default Scholarship Grant Type is set to "S - Scholarship", and a new scholarship record is created, the type code of 'S' is automatically assigned to the new record.
Defaults are configured for Scholarship, Designated Grant, Proposal, and Transfer.
Grant Request Hold Statuses
This section applies to Donor Advised Grant Requests submitted through the Foundation Cloud Community Portal (FCCP). Setting a hold status, prevents a grant request record from processing in FCG so approval can be completed prior to grant award distribution.
To add a new hold status, click the + button in the top left corner of the Grant Request Hold Statuses section.
To edit an existing hold status, click the Open button to the left of the hold status.
Table Member Editor
When a hold status is added or edited, the Table Member Editor displays.
Description - The description concisely explains the reason for the hold status. In the image above, the hold status indicates when a grant request record needs further review.
Active - When filled, this checkbox indicates the hold status is active and available for use.
Contact Methods
Contact methods indicate how a grant request was received by the organization. Contact Method is a required field when creating a new grant record.
To add a new contact method, click the + button in the top left corner of the Contact Methods section.
To edit an existing contact method, click the Open button to the left of the contact method.
Contact Method Editor
When a hold status is added or edited, the Contact Method Editor displays.
Code - The code consists of one alpha character and is associated with a specific contact method. In the image above, ''E'' is the code used for "Email".
Description - The description explains the contact method.
Active - When filled, this checkbox indicates the contact method is active and available for use.
Check Designation and Grant Number Formatting
This section is used to configure check designations and determine grant number formatting. Check Designation and Grant Number formats are provided with FCG but can be configured to suit the organization's needs.
Check Designation allows for dynamic check memos, included in check run processing and transmittal of data to the integrated Finance system. Check designations include a combination of text and system data insert fields. The format set here is what is provide to the Finance system. Up to five designations can be configured.
Grant numbering determines how grant numbers are formatted.
Check Designations - Click a check designation template in the left-hand pane. The formatting pane displays details for the selected designation.
Insert - Provides a list of fields available to insert in the check designation upon creation.
Preview - Displays a preview of the check designation format with fields populated as specified.
Require Check Designation - When filled, the checkbox indicates the check designation field is required prior to saving a new grant record.
Other
The Other section contains additional configurations that apply to grant records.
Allow Saving Grant when Grant Amount and Payment Total are Not Equal - When filled, this checkbox bypasses an existing validation step and allows grant records to be saved even if the Grant Amount and Payment Amount are not equal dollar values.
Require Fund Advisors for Grants - When filled, this checkbox indicates that a fund advisor must be selected prior to saving a new grant record.
Inherit Characteristics from Funds - When filled, this checkbox indicates characteristics are copied from the fund record when grant records are created.
Inherit Characteristics from Recipient - When filled, this checkbox indicates characteristics are copied from the recipient's record when grant records are created.
