Copy an Existing Application

Often foundations have a standard scholarship or grant application that is recreated for each new cycle. When duplicating an application for a new cycle, if copying the original application, it’s best to copy the pages and rename them. When the whole application is copied it defaults to reusing the same pages instead of using a copy of those pages. This will become a problem when it comes to editing a single page/field or running a report for this specific application.

Why Copy Application Pages?

It is always safer to COPY an application or page, rather than reusing. Reusing and then changing fields or pages will cause:

  • Saved applications from the previous year to be changed and users will see changes in their application from previous year(s).
  • Average review scores will include previous year(s).
  • Unable to use multiple round scoring.
  • It will be necessary to unlock the application before accepting new ones and relock it to do reviews again.

To Copy an Application:

  1. Config > Profile Applications.
  2. Open the application to be copied.
  3. Select Copy Profile Application.
  4. A dialog box will open warning about copying and reusing pages, click Yes.
  5. Rename the Application – using a year is typically the best way to distinguish one copy from another. Example: College Scholarship Application 2021.
  6. Use the drop-down list to change the page from Reuse to Copy.
  7. Click Create Copy.
  8. Copied page names will be prefixed with “Copy of”. Remember, these names must be changed!

To Change Page Names:

  1. Config > Profiles.
  2. Open the profile used by the application. In the example above the profile is Scholarship Web Application.
  3. Use the drop-down to select a page to rename. Scroll to the bottom to see the newly copied pages.
  4. Open each one and click Rename. Identify these pages as belonging to this application by using the same year as in the application name. Example: TranscriptsBill21 or Reference page 21. This will distinguish these copied pages from the same pages used in previous or future years.
  5. Save and Close.
