What is Sync Harmony NXT?

The Sync Harmony NXT product is NPact's automated tool designed to keep constituent and fund record detail synchronized between RE NXT, FE NXT, and Foundation Cloud Grants (FCG). 

Sync Harmony NXT polls the FE NXT and RE NXT databases for modified records in RE Constituents, FE Vendors, RE Funds, and FE Projects. When these functions detect a new or modified record in RE NXT or FE NXT, the corresponding records in the other two systems are updated, keeping records aligned across the product suite. This ‘behind-the-scenes’ service improves data health and promotes staff efficiency.

Automated Operation

Every 10 minutes during normal business hours, Sync Harmony NXT queries RE NXT and FE NXT for new or modified records. Based on the default configuration, it performs the tasks listed below. This information is based on the default configuration of Sync Harmony NXT but can be adjusted per foundation.

If it finds new or modified CRM Constituent records, it will:

  • Look for a FCG constituent record with the same RE Key (record ID). If found, it will update the FCG Constituent. If not found, and the CRM constituent has a valid constituent code for Grant Recipient, Donor, Fund Advisor (or other configured type), it will create a new FCG constituent record.
  • If the FCG Constituent record has an FE Key pointing to a Vendor record in the finance system, it will update the finance vendor record. If not, the default is not to create a new finance vendor record, but this can be enabled.

If it finds new or modified Finance Vendor records, it will:

  • Look for a FCG constituent record with the same FE Key (system record ID). If found, it will update it. If not found, the default is not to create a new constituent record in FCG, but this can be enabled.
  • If found in FCG, and the constituent has an RE Key (pointing to a CRM Constituent record), it will update the CRM constituent record. If not found in FCG, it can be configured to create a new CRM Constituent record with the Grant Payee constituent code, but this is turned off by default.

If it finds new or modified CRM Fund records, it will:

  • Look for a FCG fund record with the same RE Key (system record ID). If found, it will update it. If not found, the default is not to create a record, but this can be enabled. 
  • If the FCG fund record has an FE Key (pointing to a finance Project/Fund record), it will update it. If not found, it will create it in FE NXT.

If it finds new or modified Finance Project/Fund records, it will:

  • Look for a FCG fund record with the same FE Key (system record ID). If found, it will update the record. If not found, it can create a new FCG Fund record, but by default it will not.
  • If the FCG Fund record has an RE Key (pointing to an RE Fund record), it will update the fund attributes. If not found, the default is not to create a record, but this can be enabled. 

Data Mapping

When new and modified records are found in RE NXT, and Sync Harmony is configured to create or update records in FE NXT (and vice-versa), data field mapping is configured to tell Sync Harmony how the fields in RE NXT correspond to the fields in FE NXT. This mapping can be adjusted for each foundation.
