Merging Duplicate Constituents (FC Grants)

Merging Duplicates with the Constituent Utility:

The Utilities menu is protected by security permissions. If the Utilities menu is not an option to select the user's role likely does not contain the appropriate permissions.

  1. Open Foundation Cloud Grants (FC Grants) make sure to connected to both the CRM and Financial Systems.
  2. Settings > Data Tools > Constituent Utility

  3. Use the dropdown menu to target a select group of duplicates
    1. CRM Duplicates - this pulls a list of constituents based on CRM ID, If multiple records are connected to the same CRM record they will display.
    2. Finance System Duplicates - this pulls a list of constituents based on Finance ID, If multiple records are connected to the same Finance record they will display. 
    3. Duplicates By Name
  4. Either search for the desired constituent by typing into the Find in the list field or by scrolling. In this example, constituent Michael Scott, has two FC Grants constituent records - IDs 42 and 43.
    1. ID 42 has has a connection to a Finance record.
    2. Both have a connection to the same CRM record, ID 15059 .
  5. Open a record to get a snapshot of the information from all 3 systems.
  6. Notice the bottom right corner has a list of duplicates for this record.
  7. Use the ellipse next to the duplicate name to open the merge screen.
  8. The topmost constituent will be merged into the bottom record.
  9. Select Reverse to reorder the merge, the record on the bottom is the record that will be kept. 
  10. Select Merge and answer Yes to the alert message. 
    1. A successful message will appear in the bottom right hand corner of the screen.
  11. The Constituent Information screen will now reflect the merge, showing no remaining duplicates and proper connections to both integrated CRM and Finance systems.
  12. The merge is complete, see more details below:
    1. Contacts, Recipient Characteristics, Correspondence, History, Web user - will merge from the record on top into the record on the bottom.
    2. Address, Notes, and Constituent Code boxes do not merge from the top record, the original data in these fields are maintained.
  13. If one of the linked records was disconnected use the Associate button to search for the corresponding CRM and Finance record. 

Associate CRM and Finance Records

  1. Select the Associate button to search for corresponding records in CRM and Finance.
  2. Search the integrated finance system for the record in question.
  3. Select the vendor name to link the current constituent record to this corresponding record.
  4. See the completely linked and merged record below.
