Processing Online Fund Requests

What are Online Fund Requests?

Online fund requests are requests to establish new funds and are submitted by donors through the Foundation Cloud Community Portal (FCCP). 

New online fund requests are shown as tasks on a user's To-do list in Foundation Cloud Grants (FCG). Use one of the following methods to access new online fund requests. 

  • Click the notifications bell on the top right-hand corner of the FCG screen and select New Online Fund Request(s).
  • Navigate to Grants > Fund Requests to bring up the Fund Requests landing page.

The image below illustrates the complete Online Fund Request process flow. It starts when a fund request is submitted through FCCP by a portal user. Then the fund request is processed as an online fund request in FCG.

Opening an Online Fund Request in FCG

Open the Fund Requests screen in FCG using one of the ways mentioned above.

The Fund Requests screen displays a grid with a list of online fund requests. By default, the list is filtered to only show fund requests with a Status of SUBMITTED. For a complete list of request statuses see Fund Request Statuses.

  1. Use the search field in the upper left corner of the grid to search for an online fund request based on Fund, Donor, or Recipient values. 
  2. Click Open to the left of the online fund request in the grid to open the fund request record.
  3. Review the information displayed in the tiles on the Details tab. Use the online help content in FCG for information on fields within each tile. 
  4. Click the button on a tile to make any necessary edits.
  5. When all reviews and edits to the Details tab are complete, click the button and select ‘Set to Reviewed’. This step is required before processing can begin. 

Declining an Online Fund Request

To decline a fund request, click the button and select ‘Decline’. This sets the status of the record to ‘Declined’ and no further processing is needed.

Deleting an Online Fund Request

To delete a fund request, click the button and select ‘Delete’. This removes the fund request completely and cannot be undone.

Processing an Online Fund Request

  1. Click on the Processing tab of the fund request record in FCG. 

The tab contains a list of the steps required to process the fund request. Steps must be completed in order from top to bottom due to dependencies based on previous steps. An indicator is shown to the left of each step as it is processed. A green check mark indicates everything processed correctly. A red X indicates a problem. When a step is completed, interactive links are available in the Action column. 

2. Create New Fund in RE NXT (CRM)  

Click Lookup in the Action column to search for an existing fund in the integrated CRM. 

  • If the fund is found, select the fund and it links to the fund request for further processing. 
  • If no existing fund is found, click Create in the Action column to create a new fund. Review the field requirements for new funds in the integrated Finance system before creating a new fund in FCG. 

3. Create New Fund in FE NXT (Finance) 

Click Lookup in the Action column to search for an existing fund in the integrated Finance system. 

  • If the fund is found, select the fund and it links to the fund request for further processing. 
  • If no existing fund is found, click Create in the Action column to create a new fund. 

4. Create New Fund in Foundation Cloud Grants

Click Create in the Action column to create a new fund in FCG based on this fund request and the Fund linked from CRM and Finance. 

5. Create/Link Advisor Constituent in RE NXT (CRM) 

Click Lookup in the Action column to search for an existing record for the constituent in the integrated CRM. 

  • If the constituent is found, select the constituent and it links to the fund request for further processing. 
  • If no existing constituent record is found, click Create in the Action column to create a new constituent. Be sure to add the appropriate Constituent Code for a fund advisor.

6. Create/Link Advisor Constituent in Foundation Cloud Grants Click Lookup in the Action column to search for an existing record for the constituent in the integrated CRM.

  • If the constituent is found, select the constituent and it links to the fund request for further processing. 
  • If no existing constituent record is found, click Create in the Action column to create a new constituent. 

When multiple advisors are included on a fund request, there is more than one Constituent step for processing. These could include Create/Link Primary Advisor, Create/Link Secondary Advisor, Create/Link Financial Advisor. Follow the steps above for each constituent type listed. 

Once fund and constituent records are linked to the fund request, the options below become available. Use the hyperlinks in the Actions column to initiate an action from the fund request record.

  • Open in RE NXT – Opens the fund or constituent record from within CRM. 
  • Open in FE NXT – Opens the fund record in Finance. 
  • Open in Foundation Cloud Grants – Opens the Fund or Constituent record within FCG.


7. Establish the relationship between the advisor(s) and the fund within the integrated CRM. This step ensures that the advisor(s) can access the fund in FCCP. 

8. To complete processing: Navigate back to the fund request record in FCG, click the Actions button, and select ‘Complete Processing’ from the drop-down menu.
