What are Supplemental Pages?

Supplemental pages can be used to track progress or to collect additional information from the applicant after the grant is awarded. They work in conjunction with workflow tasks and must be set up to trigger the supplemental pages in the order that the user wants them to show up. The application must have a Submit status to work AND must be processed into a proposal. The hyperlink for the Supplemental page will appear on the Proposal or Scholarship web page, which is accessed from the applicant’s My Awards web page. The supplemental page link is only visible if the workflow has reached the task that the supplemental page is linked to. 

Setting Up Supplemental Pages:

  1. Create a workflow task for the supplemental page in a Proposal or Scholarship workflow template. Assign the task to complete the page to Web Applicant, and the prerequisite as Create Grant. See more here.
  2. Create the Supplemental page in the web application.
  3. Attach the workflow template to a proposal or scholarship application after it is processed from an application. 

Creating a Supplemental Page

Supplemental pages are created and added to an application in the same manner as Standard pages, though some additional settings are required to link the supplemental page to the workflow task.

  1. On the application select Add New Page.
  2. In the new modal, add a System Name (internal) and a Web Name.
  3. Use the dropdown menu for Page Type to select Supplemental 1 (up to 10 supplemental pages can be created per application).
  4. Fill in the additional fields unique to this supplemental page.
    1. Workflow Type - typically proposal, this is they record type where the workflow will be completed.
    2.  Workflow Task - This is the workflow task that is linked to the supplemental page. In this example, the task is called Six Month Follow-up. The task should have already been configured in the workflow and should be assigned to the user Web Applicant.
    3. Submit Outcome - Submitting a supplemental page causes the workflow step outcome to change to this value.
    4. Prerequisite Task - This is the workflow task that triggers the supplemental page. For example, this task is called Create Grant, so once the grant has been created with the designated outcome below, the supplemental page will trigger. If the Create Grant step does not meet the Prerequisite Outcome designated below, the page will never trigger in the portal.
    5. Prerequisite Outcome - This is the outcome that triggers the supplemental page. Generally, it will be Completed. 


Assign a Workflow Template to a Proposal or Scholarship:

When promoting the web application into a Proposal, the option to choose a Proposal type is presented. The user can configure the workflow template to automatically be associated with a Proposal type. That way, by selecting the Proposal Type, the workflow template is generated on the record without adding it manually. Alternatively, the user does not have to set a default workflow template on a Proposal type and can manually add the appropriate workflow template to a proposal on a case-by-case basis.
