The Acknowledgment tab contains the name and address information for the Donor that is used to create Pledge acknowledgment letters. The information on this tab is automatically populated from the Profile record, but you can also make manual changes to the fields that will only affect the Pledge.

Acknowledge To Fields

When the Donor is selected for a new Pledge, the acknowledgment name and address are copied from the default information in the Profile record.

If the Donor has Alternate Addresses, FIMS will check the current date against the Alternate Address date range to determine the appropriate address to use. You can change this default address by clicking the arrow in the Name drop-down box and selecting a different address from the list.

 

Note: In addition to selecting alternate addresses, you can use the Name drop-down to select different Profiles to send the acknowledgment to. For example, if the Donor is a member of a family group, you can select a different family member to receive the acknowledgment. You can also select any other Profile that has a relationship with the Donor (via a Relationship record).

You can manually change any aspect of the acknowledgment name or address. This is an exception to the rule that you cannot address a letter to a Donor’s Partner alone.

Tip: Click the arrow in the Salutation drop-down box if you want to select a different salutation line for export. The Name field will automatically change based on the Salutation that you select, but you can manually enter a different name, if necessary.

Note: If you want to create a manual acknowledgment for this single Pledge (as opposed to exporting and merging), click the Copy Address to Clipboard button (looks like a clipboard) next to the Address 2 field to copy the name, address, and salutation to the Windows clipboard. You can then paste the text into a Word document to create a single letter.

Description

Name

The default name for the Donor.

This field is connected to the default address and salutation for the acknowledgment. If you click the arrow in the drop-down box, and select a different Address Type, Mail To Profile, or Related Profile, all of the address and salutation information will be updated based on your selection.

You can change any aspect of the acknowledgment name or address after making the selection.

Note: This is an exception to the rule that you cannot address a letter to the Partner alone.

 

Title

The business title for the Donor (if any)

Organization

The organization that the Donor is affiliated with (if any)

Address 1-2

The first and second lines of the mailing address you want to use for the acknowledgment letter.

City, State, Zip

The city, state, and zip code you want to use for the acknowledgment letter.

Salutation

The default salutation for the Donor.

You can click the arrow in the drop-down box to select a different salutation (including a Mail To salutation, if it is different than the default).

Note: You can also manually enter a salutation in this field. This is useful if, for example, you want to send the acknowledgment letter to the Partner alone.

Country

The country where the address is located.

Code

The acknowledgment code for the Pledge (for example, General, Memorial, Scholarship). This is the same code table used for Gift acknowledgments in the Donor and Gift Management module.

Memorial/Honorarium Fields

These fields identify the person for whom a Memorial or Honorary Gift is a tribute.


Tip: The Gift Acknowledgment export gift.txt file contains these fields. Column R - SpecialCode includes whether this gift is N-Normal, H-In Honor, or M-Memorial. Column O – SpecialName contains text from the Name field

Description

Normal / In Honor / Memorial

Radio buttons that allow you to select the type of Pledge. The default value is Normal.

Normal: Select this option for standard Pledges (non-memorial and non-honorary). This is the default value.

In Honor: Select this option for Pledges that are in honor of an individual other than the Donor.

Memorial: Select this option for Pledges that are in memory of an individual other than the Donor.

Name

The name of the memorialized or honored person.

Note: This name does not automatically flow into the Gift record when you create a Gift based on this Pledge.

Comment Field

The Comment field is a free-form text entry field that allows you to add up to eight pages of text to the Pledge acknowledgment. This field is usually used to add a sentence or paragraph that is exported to word processing to personalize the acknowledgment letter.
