Adjusting Pledges

Adjusting Pledges allows you to make changes to installment amounts, due dates, and the debit and credit accounts for historic Pledges that have not yet been paid. You can also create additional payment lines for the Pledge.

NOTE: Pledge adjustments do not take affect until they are posted.

1. Open the desired Pledge on the Pledge tab (Pledge History supertab).

2. On the Pledge tab, click the Adjust Pledge button. A window opens where you can confirm the date you want to assign to the adjustment.

NOTE: The default Adjustment Date is today’s date, but you can enter a new date if necessary (for example, if the default period is not open in the General Ledger or if you want to use the date of the original Pledge).

3. Once you verify the Adjustment Date, click OK. The Adjust Pledge window opens.

4. Do one of the following:

  • Click in the installment line and field that you want to adjust, and make the desired changes.
    NOTE: You cannot change the Fund ID for an existing installment line. You must create a new installment line to move any or all of the Pledge to a new Fund.
  • If you want to create a new installment line, click the New button on the toolbar and then fill in the Amount Due and make changes to any of the other fields as necessary.

5. Click the Save button on the toolbar after you adjust each line.

6. When you are finished with all of your adjustments, click the Done button to

7. close the window. A message appears to tell you that the Pledge was adjusted and provides the number of the unposted Pledge that was created as a result of the adjustment.

8. Make a note of the new Pledge number and then click OK in the message window.

9. Click the Unposted Pledges super tab and open the Pledge Data Grid.

10. Select the new (adjusted) Pledge in the grid and then click the Processes tab.

11. (Optional) Change the Debit Account and/or Credit Account on the Installments tab, if necessary.

NOTE: All of the other fields on the other tabs related to this Pledge will be grayed out.

12. Run an error-free Pledge Edit report and then post the Pledge.

NOTE: Refer to Processing Pledges for more information on running the Edit report and posting the Pledge.

Adjusting Pledges that are Associated with Gifts

If you have already associated a Pledge (or part of a Pledge) with a Gift and posted the Gift, and you need to adjust the Pledge (for example, if you need to change the Fund ID for the Pledge), you must adjust the Gift first, then adjust the Pledge and associate it with the adjusted Gift.

  1. In the Donor and Gift Management module, adjust the Gift that the Pledge is associated with. Refer to Working with Historic Gifts in the Donor and Gift Management module for more information.
  2. Post the reversing portion of the adjustment.
  3. Change the adjusting portion of the Gift so it is no longer linked to the Pledge and then open the Pledge Management module.
  4. Adjust the Pledge (for example, change the Fund ID). Refer to Adjusting Pledges for more information.
  5. Post the Pledge adjustment and then open the Donor and Gift Management module.
  6. Associate the adjusted Pledge with the adjusted portion of the adjusted Gift and post the Gift. Refer to Recording Pledge Payments for more information.
