Alternate Addresses Tab (Profiles)

The Alternate Addresses tab lists all of the alternate addresses for a Profile. An Alternate Address record is used when a Profile has more than one mailing address (for example, home and work addresses or summer and winter home addresses). The alternate address can be substituted for the default (from the Profile 1 tab) based on the preferred address type for printing labels or exporting address information.

Note: If an address has a Begin and an End date, it will be the default address when mailing to the Profile between those dates. If it does not have a date, the system will check the Address Type to see if it fits the criteria for the mailing. If neither of these criteria are met, the system will use the address on the Profile 1 tab.

Note: You can record as many Alternate Addresses as you like, and as easily delete them, so enter an address even if it is temporary (e.g., a onetime vacation address).

Alternate Address Fields

If Recurs is set to Yes, mail automatically goes to the Alternate Address every year between the selected dates.

At the time of export, enter the date you want to use to determine address selection. If you are producing addresses for a later mailing, you can substitute that date for the current date.

 Field

Description

Type

User-defined code that identifies the address type (for example, summer home, winter home, or school address). The system can use this code to determine whether to use the address for a specific type of mailing.

Refer to File Maintenance – Profiles for more information on defining address type codes.

Begins / Ends

The date range when the selected address will be active. These dates determine when to use an alternate address for mailings (instead of the main address from the Profile 1 tab).

For example, if an influential individual associated with the organization vacations in Florida from January 1 through Jan. 30, enter these dates in the Begins and Ends fields. Mail will automatically be sent to the Florida address for all mailings during that period.

Note: If an address has a Begin and an End date, it will be the default address when mailing to the Profile between those dates. If it does not have a date, the system will check the Address Type to see if it fits the criteria for the mailing. If neither of these criteria are met, the system will use the address on the Profile 1 tab.

Recurs

Indicates whether the address recurs every year (yes or no). If the address is recurring, mail will automatically be sent to this address during the same period every year.

Work Phone / Ext.

The work phone and extension associated with the alternate address (if it is a business address).

Home Phone

The home phone number associated with the alternate address.

Fax

The fax number associated with the alternate address.

Email

The email address associated with the alternate address.

Added / Changed

Read-only fields that indicate the date when the address record was created and the last time it was changed.

Address 1-2

The first and second lines of the alternate address.

City, State, Zip

The city, state (two-letter abbreviation), and zip code for the alternate address.

NOTE: If you enter the zip code before you enter the city and state, and it exists in the Zip Code Master file, then the City and State fields will be automatically populated based on the zip code.

Country

The country where the alternate address is located.

County

User-defined code that indicates the regional association.

Refer to Maintaining Standard Profile Codes for more information on setting up County codes.

Allow Mail

Checkbox that indicates whether mail may be sent to the alternate address.

If this checkbox is cleared, the address will never be used in any exports to create mailings.

Report Name

The Profile’s report name (automatically pulled from the Profile 1 tab)

Organization

The name of the organization (for business addresses).

Sort Name

The Profile’s sort name (automatically pulled from the Profile 1 tab)

Title Code / Title Description

The user-defined code and description of the Profile’s title (for business addresses).
