    Balance Tab (Funds)

    The Balance tab provides a summary of the General Ledger account balances for the selected Fund, and optionally displays an Available to Spend amount that reflects both the Available Fund Balance from G/L and any transactions that have not yet been posted through the system.

    Field

    Description

    Fiscal Year

    The General Ledger fiscal year that you want to view summary information for.

    Through Period

    The period (1 through 13) that you want to view summary information for.

    Note: Enter 00 in this field if you only want to view the Beginning Fund Balance.

    Assets

    The total beginning and ending balance of the Fund’s asset accounts, along with the For Year amount, which reflects net changes to the asset accounts.

    Liabilities

    The total beginning and ending balance of the Fund’s liability accounts, along with the For Year amount, which reflects the net changes to the liability accounts.

    Total Fund Balance

    The sum of the Ending Balance values.

    This amount should equal the total net assets (Assets Ending Balance less the Liabilities Ending Balance) for all Fund balances.

    Available to Spend

    The amount that the Fund has available to spend, after the net activity.

    Note: This amount only appears if the calculation has been activated in FIMS.

    Note: The Available to Spend calculation can include transactions that have not been completely posted through to General Ledger accounts to provide a more accurate Available balance. The unposted transactions that impact the calculation are not reflected in the Fund Balance section. For example, if a Gift to Available is entered and posted, it will automatically create General Ledger Journal entries. However, the Fund Balance - Available will not change until the journal entries are posted to General Ledger accounts. Grant expenses will not impact the Fund Balance until the approved Application, the A/P Grant Voucher, and the General Ledger journal entries are all posted.

    Fund Balance Description

    The text description of the Fund Balance being summarized (for example, Earnings, or Available).

    Beginning Bal.

    The beginning Fund balance.

    Revenue

    The net revenue activity for the selected year and period.

    Expense

    The net expense activity for the selected year and period.

    Transfer

    The net transfer activity for the selected year and period.

    Ending Bal.

    The current ending Fund balance (after any activity for the selected year and period).
