Contact Persons Tab (Grants)

The Contact Persons tab contains information about the main points of contact for a Grantee organization. You can create an unlimited number of Contact Person records for each Grantee, and each Contact Person may be associated with a Profile (via the Profile ID code). Contact Persons with no associated Profiles are also allowed.

When you create a new Grantee record, the primary name from the Profile record is automatically added as the Primary Contact (and will be associated with the Grantee’s Profile ID code). However, you can make any Contact Person the Primary Contact. The Primary Contact will automatically be added to the Contact Name field of any Grant Application you create for the selected Grantee. Therefore, make sure that you make the person with whom you usually communicate for Grant Application purposes the Primary Contact.

Contact Persons Tab: Data Grid Section Fields

Field

Description

P

Indicates whether the Contact Person is the Primary Contact for the Grantee. An asterisk appears in this field for the primary contact. Otherwise, the field is blank.

ID Code

The ID code associated with the Contact Person’s Profile record (if one exists).

Grantee Contact Name

The Contact Person’s name.

Note: If you enter a new Contact Person without a Profile ID code, make sure you enter the name in Report Name format (for example, John Smith instead of Smith, John). This is especially important if you create a Profile for the new Contact Person – to ensure that the name builds correctly on the Profile record.

Phone

The Contact Person’s primary phone number.

Ext.

The Contact Person’s telephone extension.

Title

The Contact Person’s title at the Grantee organization.

Email

The Contact Person's email address.

 

Contact Persons Tab: Data Entry Section Fields

Note: Many of these fields are read-only for Contact Persons that have an associated Profile record. If you want to make changes to these fields, you must do so directly on the Profile record. If a Contact is not associated with a Profile record, most of the fields are editable.

Field

Contact

The ID code associated with the Contact Person’s Profile record (if one exists).

Primary Contact

Indicates whether the selected Contact Person is the Primary Contact for the Grantee. The Primary Contact’s information is added to the Contact tab on Applications by default, but you can change the information or select a new Contact Person if necessary.

Relationship

The Relationship code that relates the Contact Person to the Grantee.

Note: This field is read-only. The GC (Grantee Contact) relationship is assigned to all Contact Persons.

Group

The Group code associated with the Contact Person (if it is part of a group).

Note: This field is read-only. It is only populated if your GC Relationship code is associated with a group.

Prefix

A prefix for the Contact Person's name, (e.g., Mr., Ms., Dr.).

First

The Contact Person's first name.

MI

The Contact Person's middle initial.

Last

The Contact Person's last name.

Suffix

A suffix to the Contact Person's name (e.g., Jr. or III).

Full Name

The Contact Person's full name.

This name is built based on the populated name fields (Prefix, First, MI, Last, Suffix).

Sort Name

The name (up to 20 characters) that alphabetically sorts the Contact Person (for example, Doe, John M.).

Salutation

The default salutation that will be used for the Contact Person.

Title Code

User-defined code that indicates the Profile’s title in an organization (for example, CFO for Chief Financial Officer).

Title

The description of the Profile’s title.

You can enter a title in this field by either typing it in directly or selecting a Title Code.

Shared Address Type

The address type that the Contact Person shares with the Grantee (if any). If there is a shared address and the Grantee address changes, the Contact’s address will also be updated.

Phone

The Contact Person’s primary phone number.

Ext.

The Contact Person’s telephone extension.

 

Email

The Contact Person's email address. The email address is automatically added to the Contact tab for any applications that the Contact Person is associated with.

Note: You can generate an email to the Contact Person by clicking the Send Email button next to this field.

Comments

Any comments about the Contact Person.

Note: This field automatically expands when you click in it. Enter the desired text and then click in the field again to shrink it.

Create Profile

Button that allows you to create a new Profile record for any Contact Person that does not already have a Profile.

Note: This button is only available for Contact Persons who do not already have Profile records.
