Creating a New Scholarship Application

A Scholarship application must be created for every awarded Scholarship. This record can also be used to track and support the evaluation of all applications.

NOTE: If this is the first application you are entering in this session, the Default Scholarship Application Values window opens, where you can set default values for some of the application fields. These default values remain in effect for every application you create during the session, unless you change them. Refer to Setting Default Scholarship Application Values for more information.

  1. In the Scholarship Management module, click the New Application button on the toolbar. A new application opens with the following fields automatically populated:

Field(s)

Student record (based on the last record open in the Students supertab)

Student, Grantee, Institution, Program Name, Description.

Application Defaults (if any are selected)

Action, Status, Batch, Board Date, Grant Date, Payment Date, Project Code, Default for Hold in A/P.

System Options (if any are selected)

Payee.

Fund Scholarship record

Recommended Amount, Committee Code, Committee Date, and Grant Amount (if the Action code is set to Approved upon entry).

 

  1. Enter the Student’s ID code in the Student field or click the Lookup button to select a Student. When you select a Student, their associated data is automatically pulled into the application.
  2. If the Scholarship has already been approved, enter the total approved amount of the Scholarship In the Grant Amount field.
  3. If it is not automatically populated from the Application Defaults, enter the Grant Date.
  4. If the Scholarship has already been approved, enter the Scholarship Fund. If you are not sure of the Fund ID, click the Lookup button to select the desired Fund.

NOTE: If the Scholarship Fund is not on the list, you can add it via File Maintenance. Refer to Maintaining Fund Scholarship Records for more information.

  1. Enter any additional information for the application. When you are finished, click the Save button on the toolbar.

The basic application entry is now complete, but the Scholarship will not impact history or be available for Grants until you run an error-free edit report and post the Scholarship application.
