Creating a New Student Record

A Student record must be created for every Scholarship Applicant. The Student record holds Applicant-specific data that enhances the information in the Profile record. The Student record has a one-to-one relationship with the Profile record.

NOTE: Each Student needs only one Student record – even if they are applying for multiple Scholarships.

NOTE: When you initially create a Student record, FIMS automatically applies an Affiliation code (Schol) to the Profile record to indicate that the Profile is a potential Scholarship recipient. Refer to Configuring Automatic Affiliation Codes in the Profile Management module for more information.

NOTE: This procedure provides only the basic steps for creating a simple Student record. Refer to the Students Tab for more information on the fields that are available for Students.

  1. In the Scholarship Management module, click the Students super tab.
  2. Verify that the Student record does not already exist by searching for the record in the Students Data Grid.
  3. Click the Students tab, and then click the New button on the far left-hand side of the toolbar.
  4. Enter the ID Code of the Profile you want to create a Student record for.

    If you are not sure of the ID code, click the Lookup button next to this field to select the desired Profile from a Data Grid.

    NOTE: This is the only field that FIMS requires to save the Student record. However, your organization may require others, and you should fill in as many of the other fields as possible, to help automate the application process, and to make your reports more useful.

  1. When you are finished, click the Save button on the toolbar.
