When running Recurring Grants from Fund Distributions the message, ' E Distribution Total is More than the Available Amount' appears even though the distribution is the exact amount of the availble to spend on the fund and there is only one distribution on the fund.
Steps To Duplicate:
- In the Grantee and Grant Management module, select File Maintenance > Recurring Grants from Fund Distributions.
- Select a next action date for a date that matches when the distribution should be made
- For fiscal year, select the appropriate fiscal year and period
- Add fund division and subtype
- Click Ok
- See error occur for a fund.
- Note on the fund that the available to spend is exactly the same or above as what the distribution is for and thus the distribution total is not more than the available amount.
Answer:
This issue is related to a fund with multiple fund distributions where the first distribution is being skipped because of the end-date. Because it's being skipped, that distribution amount is being added to another fund.
Solution:
1. Re-run the Recurring Grants from Fund Distributions with no selections to see all distributions in order to find a distribution with an old date or an amount that matches the amount that is being added to the other fund
2. Once you identify the problem fund, find that fund in the module and adjust the distribution. Some adjustments would be to remove the old distribution; change the Frequency to Never; remove next action date.
Note: You can also create a data grid to show fund distributions.
