How to import profiles into FIMS

I have a list of profiles from a prior database, and I want to put them into FIMS without needing to enter them by hand. How do I do that? Is there a way to Import all of them at once? 

Answer:

You can import Profiles into FIMS via two methods:

A. Do-It-Yourself (DIY) Profile Import utility. This tool will create new Profiles from a spreadsheet. Follow the detailed steps below.
  1. Create a new import file or download the template import file. See attached.
  2. Add a single profile on each row, filling out the necessary fields for each column
    • Columns A - AV are used for import. Each column must have the correct data in it, and columns can't be rearranged.
    • Column A is required. "O" indicates an Organization, "I" indicates an Individual.
    • Column F is required for all Individual records.
    • Column S is required for all Organization records.
    • Column AS is required as the Address Type is also required on a profile record.
    • Refer to the Profile Import Mapping Guide (see attached) for specific import field information
    • Note that columns AU and AV for external ID and external source are typically not used and are for designating if there is a master profile record outside of FIMS in another system.
  3. Select File > Save As for your spreadsheet and change the Save as Type to a .CSV file.Then save in an easily accessible location.
  4. In FIMS, access the utility by this path: Tools > System Utilities > Admin Utilities > Profile Imports > DIY Profile Import.
  5. Select Browse to find and select the file you just saved. (If you didn't use column headers on the .csv file, uncheck the box for "First Row Contains Labels")
  6. Click OK.
  7. If there are any errors with the imported data, FIMS will notify you and stop the import. Correct the data and repeat the import process. 
B. You can also use the Spreadsheet Import Wizard:
  1. Navigate to Tools > System Utilities > Run Procedure
  2. Input gui\imports\d-ssimp.w and click OK
  3. Select import file and correct ranges.
  4. Click next.
  5. Select "Fims Table: Profile"
  6. Map "IDCODE" to IDCODE
  7. To import notes on notes tab, map "Notes" to "Txt" (all the way at the bottom of the mapping list)
  8. Select Next and then Finish
