External Statements Menu

If the Statement Layout view has the Financial Summary Detail section, a menu option called External Statements is available on the FIMS Viewer when you use the Preview option in the Fund Statement Designer or when running a Fund Statement report using that statement lay out.

After clicking Run Report, you will see this screen with External Statements option:


  • File\Save As-allows you to save a copy of the statement in text version
  • File\Print – Allows you to send the FIMS Viewer version of the statements to the printer.
  • Rerun report-allows you to rerun the report if you need to make a change in the selections.
  • Click External Statements and you will see these options: 

  • Preview - Launches the formatted version of the statements.
  • Print – Allows you to send the FIMS Viewer version of the statements to the printer.
  • Individual Statements to Fund Folders - Will display if there is a Fund folder directory set up. This step creates and saves PDF file copies of the statement to each folder.
  • Individual Statements to Profile Folders - Will display if there are Profile folders set up and the Saved Report settings include a selection in the Fund Representatives fields. This step creates and saves PDF file copies of the statement to each folder.
  • Individual Statements to Folder - Allows you to save Fund statements in individual Fund folders or together in a single batch on your workstation. Files generate with a format of <Fundid> + <PDF Filename> + ".pdf."
  • Individual Statements for DonorCentral - Creates a PDF file for each statement and a contents file in the Eadvisor > Statements folder as set in user preferences and also uploads statements to DonorCentral.

Creating Fund Statements and uploading to DonorCentral from External Statements:

  • After clicking Individual Statements for DonorCentral, individual PDF fund statements will be created in the directory that is set in your user preferences. This part may take several minutes.
  • You will see a window appear asking you to confirm where to create the PDF statements. The example below is from FIMS on NPact Azure. If you are on-premises, the path will be N:\eAdvisor. Click OK to confirm:

  •  You will see a popup appear with the number of PDFs that have been created. Be sure that the number in the window matches the number of PDFs in the folder where they were created. Note also that only statements that pertain to a fund in DonorCentral will be uploaded. 

  • Click Yes to upload statements to DonorCentral or click No to not upload. 
  • You will see the statements appear in DonorCentral in Control Panel\Fund statements and on the fund records

Note: Clicking No will not delete the PDFs that were created, it just will not upload them to DonorCentral using this function. If you choose No here, you can upload them later by using steps the steps in the article below:
