Fund Activity Report

Note: This functionality requires configuration in both FIMS and DonorCentral.

The fund activity report enables advisors to view a summary of their fund's current balance, as well as see a balance sheet of all their fund activity -- including debits, credits, transaction types, and more -- over a specified time period.

The report enables advisors to:

  • View their current balance from an incoming/outgoing balance over time
  • See debits and credits for a time period
  • See the beginning and ending balance for a date filter

Configure in FIMS

Step 1 Configure General Ledger settings:

  1. Go to Tools > System Utilities > DonorCentral > DonorCentral Options.
  2. Select Services >Export_GL_Drilldowns > Activity Report.
  3. Click OK.
  4. When prompted to refresh DonorCentral Real time Sync Options, choose Yes.

5. Select the Year to begin GL Drilldowns in Tools > System Utilities >DonorCentral > DonorCentral Options > System > BeginGLDrilldownYear. After adding the year, click Apply and OK.

Step 2 Review Master Chart of Account DC Friendly Names

Accounts and account names are pulled from FIMS and displayed on the Fund Activity Report in DonorCentral. To change an account name in FIMS so that it displays the new name in the Fund Activity Report in DonorCentral:

  1. Go to File Maintenance, General Ledger, Master Chart of Accounts Maintenance.
  2. In the DC Friendly Name column, click the cell of the name that you want to change, and type the account name you want to display.

The updated name displays on the Fund Activity report in DonorCentral as a category between Beginning balance and Ending balance.

Step 3 Configure in DonorCentral

In DonorCentral, under Control panel, Site configuration, Options, select Enable Activity report for all users under Funds so that advisors can view the fund activity report. If you don't select this option, only administrators have access to view the report.

After FIMS sends the new General Ledger format, the Fund Activity Report automatically displays on the Activity tab of the Fund Details page. Advisors can view the fund activity based on a selected time period.

Notes: 

  • A full DonorCentral export is required for the Activity Report to update in DonorCentral.
  • In FIMS, T accounts are rolled into Q accounts. As a result, in the Fund activity results, T accounts are represented as part of the Beginning balance instead of a separate result.
  • Fund details on the Fund Activity report only show the last two years of data, any years prior to the last 2 years is summarized.

In the Report grid, advisors can view all the transactions (debits and credits) for the selected fund(s).
