Article summary

How can I delete a code from a code table if there are historical records attached to it?

Answer:
If the code is associated with any records, you will want to change all the historical records or leave the code in the code table.  You will receive an error message on those records if you remove a code from the code table that is still in use.

Changing Code Schemes: Over time you may decide that you want to change a particular coding scheme to be more meaningful.   Perhaps you have some old codes that you would like to change into newer codes.   This can be done with assistance from FIMS Support staff and the Global Change program in FIMS.   Global changes can also be done with some limited selection criteria.

For example, if the County Code is 'xyz' then change the Region Code to 'abc'. Also, codes can be globally removed from fields to leave the field blank. It is important not to delete old codes out of a code table . If you do that, then when you go to an old record that has that code, you will be prompted to enter a valid code from the code table, and will not be able to leave that record until you do so. You should:
  1. Add the new codes into the code table
  2. Have FIMS Support staff help you do the global change
  3. Then it is safe to remove the old codes from the code table.
Note that the Global Change program should only be used with assistance from FIMS Support staff.   There is no recycle bin or undo button to reverse the procedure.  A backup of data is always strongly recommended before performing a global change.  If you are thinking you would like to do a global change, please contact FIMS Support to discuss the options.
