How to Save Scanned Documents to Fund or Profile Folders

Answer:

Note: You have to have the Fund and Profile folders already created on your local server or in the S drive in Azure Cloud My Files first in order for fund and profile folders to be created.

  1. Create the profile and fund folders.  

        For Profiles:

  • In FIMS – go to the Profile you want to save a document to.  
  • Click on the Folder Icon up in the menu bar.  This auto creates the folder.  Do not change the name from how it is created.

       For Funds:

  • In FIMS – go to the Fund you want to save a document to.  
  • Click on the Folder Icon up in the menu bar.  This auto creates the folder.  Do not change the name from how it is created.   

2. The paths for the Fund and Profile folders have to be defined in System Options prior to doing the steps above in order for those profile and fund folders to be created. 

  • To verify where you will find these folder that has just been created – go to Tools\System Utilities\System Options. 

      For Profiles:

  • Click on Profiles in the first column,  Explore_Dir in the second column and the path will show in the third column.

     For Funds: 

  • Click on Funds in the first column,  Explore_Dir in the second column and the path will show in the third column. 

3. The next step is to move the scanned local document to your profile or fund folder:
 
If you are on Azure Cloud:

How to Move or Copy Files or Folders Between Local Drives and My Files

  • Go to My Files. This steps are assuming that you have the Fund and Profiles folders in the S drive in Azure.
  • In My Files search your local C drive and find the scanned document that is on your workstation that you scanned that you want to move to a fund or a profile folder. This is assuming that the scanned document is on your C drive.
  • Point to that document – then click Edit (up in the menu bar) then Copy.  Now go to the S: drive and to the folder that was specified in the S drive.
  • Click on this folder. You will then see the specific folder for the profile you created in Step 1.  Click on the specific profile folder – then click Edit and Paste. Your document is now saved in the specific Profile folder.    
  • To check – go back into FIMS and go to that Profile. Click on the Folder Icon in the menu bar and you will see that document.  You can open it to see the content. 

If you are on-premises:

  • Search your local computer or network location where you saved the scanned and find the scanned document that you want to move to a fund or a profile folder.
  • Right click and copy the file.
  • Go to the profile or fund folder where you want to save it and open that folder
  • Right click and select paste to paste the scanned document in that folder.
  • To check – go back into FIMS and go to that Profile or fund.  Click on the Folder Icon in the menu bar and you will see that document.  You can open it to see the content.
