Import Suggestion for an existing Charity and Create an Application

 1. In FIMS, select Tools\System Utilities\DonorCentral\Retrieve Suggestions from DonorCentral. You can also go to the grant module and click the red heart with the blue 'e'.

2. A message will appear that displays the number of suggestions retrieved from DonorCentral. Select OK.

NOTE: If there are fields from the Recommendation Form not mapped to fields in FIMS, a screen will appear asking if you want to open the Suggestion Mapping Utility.

3. In the DC Suggestion Import window, open the recommendation for which you would like to create a grant application:

4. A screen displays with details of the recommendation. You can select the Detail tab to view each field on the DonorCentral recommendation form (this includes the field name), as well as the FIMS field it's mapped to and the Value (data) that will be imported into FIMS. 

From the Suggestion tab, click Create Application if you wish to create a grant application for the imported suggestion or alternatively, you can click Decline Application if you wish to Decline the suggestion which will remove it from DonorCentral.

Notes: If this is the first time using the Suggestion Import Utility in the current FIMS session, the Default Application Entry Values screen appears when you select Create Application. From here, you can set the values for this FIMS session. You can also select to Automatically Create New Grantees with no prompt.

5. You will then see a prompt confirming that the application was created. Click OK. Go to the Grant Module > Applications tab to see the created application.

Import Suggestion for a New Charity and Create Application

Complete Steps 1-4 above.

Many times, an advisor will submit a recommendation for a New Charity that is not already in FIMS, or sometimes, an advisor will submit a recommendation for a New Charity, but the charity is really not new, and you already have a profile or grantee record for that charity in FIMS.

If an advisor submits a recommendation for a new charity in DonorCentral, in the DC Suggestion Import window on the imported suggestion, you will see the New Charity checkbox checked and you will also note that the Grantee IDcode field is blank due to the new charity not having been in DonorCentral:

Once you click Create Application, you will see a window appear where you can browse all Grantee and Profile records to search to see if a Grantee or Profile record already exists for the new charity so as to not create a duplicate record. Choose either Browse All Grantees or Browse All Profiles and Click OK.

If you do find an existing grantee or profile that you verified matches the New Charity in the Suggestion, you can select that grantee or profile record from the search window.

If you do not find an existing grantee or profile record, click the button to Create Profile and Grantee which creates both a Profile record and a Grantee record if none exist. This process also adds the DC Affliiation code to the new Grantee record as well.

After you click Create Profile and Grantee, a screen will appear asking if you would like to create the profile and grantee, Click OK to create the new profile and grantee records.

You will then see a prompt asking if you would like to add the grantee affiliation code. Click Yes to add the grantee affiliation code so that the new grantee will be uploaded to DonorCentral. You will then see a prompt confirming that the application was created after clicking Yes.

Create a Batch of Applications from Imported Suggestions

1. In FIMS, select Tools, System Utilities, DonorCentral, Retrieve Suggestions from DonorCentral. You can also go to the grant module and click the red heart with the blue 'e'.  A message appears displaying the number of suggestions retrieved.

2. In the DC Suggestion Import window, select the recommendations for which you want to import. You can either highlight several recommendations using the shift or ctrl keys, or you can tag the records in the data grid view.

3. Right-click Create Applications. The Create Applications screen appears.

4. Select either Highlighted Records or Tagged Records and select OK.

5. A message appears confirming the applications have been created. The applications are visible on the Applications tab in the Grant Module.

There are two items that can be run from the Processes tab:

  • Retrieve Suggestions from DonorCentral
  • DonorCentral Suggestion Field Mapping
