Item Tab (A/P Item Entry)

Use the Item tab to create and edit unposted Administrative Vouchers and view and edit the Payee information for unposted Grant Vouchers.

Note: Grant Vouchers are linked to posted Grants, and although you can update the Payee information, you cannot delete Grants or change the Grant Amount, Fund ID, or Grantee from the Accounts Payable module. If you need to make changes, you must use Grant Adjustments in the Grantee and Grant Management module. Refer to Adjusting Historic Grant Applications in the Grantee and Grant Management module for more information.

Item Tab: General Entry and Payee Fields

Field

Description

Vendor

The Profile ID code of the Vendor or Grantee for the Voucher.

Note: You cannot change the ID code for Grant Vouchers.

Voucher Recall (button)

Use this button to use Voucher Recall to copy an historic Voucher as a new, unposted item.

Refer to Recalling Historic Vouchers for more information.

Payee (and address fields)

The name that will be printed on the check and the mailing address where the check will be sent.

For administrative Vouchers, these fields are automatically populated from the Profile record of the administrative Vendor.

For Grant Vouchers, these fields are populated based on the Payee fields on the Contact tab.

Note: You can manually change the payee information without changing the Vendor (or Grantee) ID code.

Voucher Number

Read-only field that displays the sequential number used to identify the Voucher.

This number is generated by the system for administrative Vouchers and is the same as the Grant Number for Grant Vouchers.

Note: Administrative Open Items will be identified by the Voucher number, and Grant Open Items are identified by the Voucher number (Grant number) plus a sequential number (for example, 01 for the first open item and 02 for the second open item).

Item Type

Read-only field that indicates whether the Voucher is an administrative Voucher or a Grant Voucher.

Voucher Number (Unapplied Debit Memos)

The number of the Debit Memo that you want to apply to this Voucher.

Click the Unapplied Debit Memos button to select the desired Debit Memo.

Note: This field is only available for Administrative Vouchers.

Amount (Unapplied Debit Memos)

The amount of the Debit Memo that you want to apply to this Voucher.

Click the Unapplied Debit Memos button to select the desired Debit Memo.

Note: This field is only available for Administrative Vouchers.

Batch

Text entry field that allows you to assign the Voucher to a batch for processing.

Note: This field will not be available unless you activate it via System Initial Setup. Refer to Activating the Batch Field for Vouchers for more information.

Process Hold

Checkbox that indicates whether the Voucher is on hold.

Items that are on hold cannot be posted and will not appear when you run the Edit report.

This can be useful if, for example, you want to enter administrative Vouchers for next month ahead of time, but not post them when you post the Vouchers for the current month.

Note: There is a separate Hold option available for Open Items that will keep payments from being made. Refer to the Voucher Tab on the Open Items super tab for more information.

ACH Payment

Checkbox that indicates whether the Vendor can accept ACH payments for the Voucher. Once selected, you can pick the account (if there is more than one account entered for the Vendor).

Click the Voucher radio button on the right-hand side of the tab to access these fields.

Description

A brief description of the goods or services being paid for.

For administrative Vouchers, you must manually enter a description.

For Grant Vouchers, this field is automatically populated based on the Program Name from the Grant application.

For Debit Memos or Prepaids applied to existing payables in Open Items, this field is automatically populated with the Description from the original Voucher.

Invoice No.

Required

The number on the Vendor’s invoice.

NOTE: This number must be unique on every Voucher for the Vendor.

TIP: If there is no invoice number on the bill an easy work-around is to enter the current date in the field.

For Grant Vouchers, this field is automatically populated based on the Grant Number from the Grant Application.

For Debit Memos or Prepaids applied to existing payables in Open Items, this field is automatically populated with the Invoice Number from the original Voucher.

P O No.

The Purchase Order number associated with the invoice (if your organization uses purchase orders).

1099 Invoice

Checkbox that indicates whether the Voucher amount will be added to the Vendor’s 1099 amount for the year.

Select this checkbox to add the amount to the 1099 amount and clear the checkbox if you do not want to add the amount to the 1099 amount.

This checkbox is selected by default for Vendors that have the 1099 checkbox selected on the Vendor tab.

Invoice Date

Required

The date on the Vendor’s invoice. The default value is today’s date.

NOTE: This field is not required for Grant Vouchers, but the field is automatically populated based on the Grant Date.

This date is the default General Ledger Apply Date for the Voucher and determines the period when the liability will posted. It is also the default Apply Date for Debit Memos (the Check date is the default Apply Date for Prepaids).

Due Date

The date when the payment is due

This date is automatically generated based on the Invoice Date and the Vendor’s Terms code. If the Vendor has no Terms code, this date will be the same as the Invoice Date.

NOTE: This field is only available for administrative Vouchers. You can view the due dates for Grant Vouchers in the Payment Date field on the Line Items tab.

Disc Date

The date before which payment must be made in order to receive a discount from the Vendor.

This date is automatically generated based on the Invoice Date and the Vendor’s Terms code. If the Vendor has no Terms code, this date will be the same as the Invoice Date.

NOTE: This field is only available for administrative Vouchers.

Voucher Total

Read-only field that displays the total Voucher amount, based on the sum of the Voucher’s Line Items.

Item Tab: Hand Check Fields

Click the Hand Check radio button on the right-hand side of the tab to access these fields.

NOTE: Refer to Creating Prepaid Administrative Vouchers in Item Entry for more information about Hand Checks.

Hand Check Fields

Field

Description

Apply To

The number of the Voucher that the Hand Check will be applied to.

Check No.

The number of the check that was used to make the payment.

If there is no identification number for the payment (for example, for wire transfers or Interfund Grants), you can enter 999999 in this field.

NOTE: Although the Print Checks utility does not allow you to use a Check Number more than once for a specific checking account, this is not prevented for hand checks. This is especially useful when you must change the fund for a payment that has already been made. In this situation, after a Void to restore the payable, and a Debit Memo to change the fund, you must enter a Prepaid with the original check number.

Check Date

The date of the check or other type of payment. This date will become the default Apply Date when the Voucher is posted and will determine the period of the payment in General Ledger.

Check Amount

The total amount of the check.

Item Tab: Debit Memo Fields

Click the Debit Memo radio button on the right-hand side of the tab to access these fields.

Debit Memo Fields

Description

A brief text description of the original Voucher related to the Debit Memo.

For administrative Debit Memos applied to existing payables in Open Items, this field is populated based on the original Voucher Description. For Debit Memos from Grant Adjustments, this field is populated based on the Program Name from the Grant.

Apply To

The number of the Open Item that the Debit Memo will be applied to.

This field is automatically populated for Debit Memos from Grant Adjustments, based on the Grant Number plus a two-digit number that indicates the line number. It will also be entered automatically for Admin Debit Memos created via Open Items.

NOTE: This field is necessary in order to identify the Open Item that is being reduced by the Debit Memo. However, you can leave this field blank if you want to create an unapplied Debit Memo. This may be helpful if, for example, you want to record a credit on a Vendor’s account. When an invoice is received from the Vendor, you can post the new Voucher, and then apply the Debit Memo to reduce the amount of the Voucher payment.

Invoice Date

Required

The date on the Vendor’s invoice. The default value is today’s date.

This date becomes the default G/L Apply Date for the Debit Memo and determines the period into which the change in the liability is posted.

For Debit Memos from Grant Adjustments this field is automatically populated based on the Apply Date you entered during the Grant Adjustment.

For administrative Debit Memos this field is populated based on the Debit Memo Date.

Debit Memo

Checkbox that indicates that the item is a Debit Memo that will change the balance of an Open Item once it is posted.

NOTE: This checkbox is selected by default for automatically created Debit Memos.

Voucher Total

Read-only field that displays the total Voucher amount, based on the sum of the Voucher’s Line Items.

Item Entry Tab: Other Fields

Click the Other radio button on the right-hand side of the tab to access these fields.

Other Fields

Description

Date Added

Read-only field that indicates the date when the item was first added to the system.

Date Changed

Read-only field that indicates the date when the item was last changed. If no changes have been made, this date will be the same as the Date Added.

User ID

Read-only field that indicates the username of the person who made the last change to the item (or the person who created the item if no changes have been made).
