Ledger Detail Tab

The Ledger Detail tab displays a Data Grid of all posted Journal Entries that impacted the selected account, through the selected period in the selected year.

You can also select an entry from the list and click the View Journal History button to view that entry among the full Journal and any related history records in the Donor and Gift, Grantee and Grant, Pledge Management, or FACTS modules. For example, if you select a Journal entry with a key code of GI (Gifts) and click the View Journal History button, you will be able to see the full detail of the selected Gift in Gift History. You can even optionally make Gift Adjustments from this window. Refer to Viewing Journal History from the Ledger Detail Tab for more information.

Ledger Detail Tab Fields

Field

Description

Through Year

The fiscal year through which data is displayed.

You can click the arrow in this drop-down box to select a different fiscal year to facilitate navigation between fiscal years.

Through Period

The fiscal period through which data is displayed.

You can click the arrow in this drop-down box to select a different period within the same fiscal year.

Beginning Balance

The beginning balance (read-only) for the selected account for the selected fiscal year.

Ending Balance

The ending balance (read-only) for the selected account for the selected fiscal year.

Jrnl. No.

The journal number that identifies the entry.

Apply Date

The General Ledger Apply Date for the transaction.

Entry Date

The date when the actual journal entry was made.

Description

A text description of the transaction.

Key

The key code associated with the journal entry (for example, gi for Gifts or fe for administrative Fees).

Amount

The total amount of the transaction.

Reference

A meaningful reference number for the entry (for example, a Grant number, or payroll document number if payroll is done by a service).

NOTE: FIMS automatically adds a relevant Reference number to all automatic postings.

Added

The date when the journal entry was added.

Changed

The date (if any) when the journal entry was changed.

User ID

The username of the person who made the last change to the entry (or the user who made the initial entry, if no changes have been made).
