The Pledge tab contains basic information about the Pledge, including the Donor ID Code, the Pledge amount and date, the number of payments, and the Fund receiving the Pledge.

Pledge Tab: General Entry Fields

Field

Description

ID Code

ID Code of the Donor making the Pledge. If you are not sure of the Donor ID Code, click the Lookup button (magnifying glass) next to this field to select from a list of Donors.

Amount

The total dollar value of the Pledge.

Pledge Date

The date that the organization took the Pledge. The default value is today’s date.

NOTE: You can either use this date as the G/L Apply Date or change the date at post-time.

Fund ID

The recipient Fund for the Pledge. If you are not sure of the Fund ID, click the Lookup button (magnifying glass) next to this field to select from a list of Funds.

NOTE: It is possible to make a Pledge to more than one Fund. Additional Fund obligations are set up on the Installments tab.

Ack. Code

Code used to identify the type of acknowledgment letter the Donor should receive. This field is exported for use as a control field in mail merges.

First

Payment Date

The date when the first payment is due on the Pledge (or the date the entire Pledge is due if there is only one installment).

The default value is the first day of the month after the Pledge date. For example, if the Pledge Date is 10/16/2008, the First Payment Date is 11/01/2008.

Number of Payments

The total number of payments that will be made to fulfill this Pledge.

Frequency

Code that is used to determine the interval at which Pledge payments will be made. The available codes include: Monthly, Quarterly, Semi-Annually, Annually, and Irregular. Use Irregular if the Pledge is not set to be paid at regular intervals.

NOTE: You can change the Amount Due and the Date Due on the Installments tab if this field is set to Irregular.

Pledge Tab: Additional Detail Fields

Click the Additional Detail radio button on the bottom half of the Pledge tab to access these fields.

 

Field

Description

Anonymous

Checkbox that indicates whether a Pledge is anonymous. Select the checkbox if the Pledge is anonymous and clear the checkbox if it is not.

NOTE: When you create the Pledge, the default value for this checkbox is pulled from the Anonymous field on the Donor record.

NOTE: When a Pledge is anonymous, the Donor’s name does not appear on any Pledge reports. Instead, Anonymous Pledge appears in the Donor section of the report.

NOTE: The Donor Name will be included in any exports to allow for appropriate acknowledgements.

 

Type

User-defined code for the type of Gift that will result from this Pledge (for example, Cash, Work of Art, Real Estate, Public Securities).

NOTE: You can set the default code for this field by selecting Tools > System Utilities > System Initial Setup, clicking the Gifts and Grants tab, and selecting the desired Default Gift Type Code. This default value is used in both the Pledge Management and the Donor and Gift Management modules.

Solicitor

User-defined code that identifies the primary solicitor who initiated the contribution. This field is generally used to identify a personal or professional referral.

NOTE: This field uses the same code table as the Solicitor field in the Donor record.

Source

User-defined code that describes what persuaded the Donor to make this Pledge (for example, Annual Appeal, Personal Referral).

NOTE: This field uses the same code table as the Source field in the Donor record.

Purpose

User-defined code that describes the intention of the Pledge (for example, Addition to Fund, Special Project, Pass Through).

Match Code

User-defined code that identifies Pledges that qualify for a match, and the type of match (for example, One-to-One, 50% Match).

NOTE: When you define these codes, you can select whether or not to automatically create the matching Pledge once the Gift is posted. Refer to Recording Matching Gifts in the Donor and Gift Management module for more information.

Match ID

The Profile ID Code of the entity (for example, a Donor’s employer) sponsoring the matching Pledge.

Originating

Match Pledge

The number of the original Pledge that resulted in the creation of the current Pledge. For example, if a Donor made a pledge and then applied that pledge to a gift that in turn created a matching pledge, the number of the original pledge appears in this field.

NOTE: This field is read-only and cannot be changed.

Pledge Tab: Comment Field

Click the Comment radio button on the bottom half of the Pledge tab to access this field.

The Comment field is a free-form text field that is intended for a comment or phrase to describe the Pledge. This field is often used for one of the following purposes:

  • Record the exact nature of non-cash Pledges (for example, 100 shares of Microsoft).

  • Add specific information about memorial Pledges (for example, In memory of Ralph Harrison).

  • For interfund Gifts, if a Fund ID is entered into the initial six characters of this field, and the Interfund checkbox is selected, the Comment column on the Donor statement identifies the Donor Fund (for example, Transfer from the Adams Fund).

 Pledge Tab: Other Fields

 Click the Other radio button on the bottom half of the Pledge tab to access these fields.

NOTE: You cannot edit any of the information in these fields. They are strictly informational.
