Purge (Delete) Unposted General Ledger Journal Entries

The Delete Unposted Entries utility deletes selected entries from the (unposted) General Ledger Journal. It is designed to simplify the deletion of large numbers of erroneous entries (for example, those created with another of the Automatic Journal Entry routines).

IMPORTANT: Do not use this utility to delete entries that were created by posting from subsidiary modules (for example, Gifts, FACTS, or Accounts Payable). You should always make changes from the module where the entry originated.

Before you run this utility, you should run either the G/L Edit report or the Journal Entry report to get a list of unposted entries. This will help you to identify the entries that you want to delete and determine the selection criteria that you should use when you run the utility.

  1. In the General Ledger module, click the Journal Entry supertab, and then click the Automatic Entries tab.

  2. Select Delete Unposted Entries from the Automatic Entries list, and then click the Run Process button. The Purge Unposted G/L Entries window opens.

  3. In the Purge Entries with Apply Dates From / Through fields, enter the Apply Date(s) for the entries you want to delete.

  4. (Optional) Use the Other Selection Criteria fields to further limit the entries that you want to delete.

  5. Click OK.

  6. Verify the Send To destination, and then click the Run Report button. The Purge Unposted G/L Entries report opens in the FIMS Viewer.

  7. Carefully review the list of Journal entries, and then click Delete G/L Entries on the FIMS Viewer toolbar. A message appears to ask if you are sure you are ready to delete the selected entries.

  8. Click Yes in the message window. A confirmation window appears to tell you how many entries were deleted.
