How to Save Fund Statements to Profile or Fund Folders

Complete instructions are located in the attachment to this article:
1. Run a trial Fund Statement Export.
2. Open the main merge document in Microsoft Word and add the following paragraph at the beginning of the statement:

Note: This paragraph includes seven merge fields: FundsExploreDir, ProfileExploreDir, Statement_Description, Base_Period, Base_Year, FundID, and FundRepIdcode.
Note: IMPORTANT: Do not include any spaces in this paragraph.
3. In order to prevent this heading paragraph from printing, select the paragraph and select Format > Font. In the Font window, select the Hidden checkbox, and then click OK.

4. At the end of the main merge document enter the following paragraph (and set it as hidden text):

5. Save the modified merge documents.
6. Merge your Fund Statements as usual.
Note: If you need to edit the statements, you can do so, but do not alter the <HEAD> or <BOTTOM> paragraphs.
7. To run the desired macro in the merged Fund Statement document, select View > Macros. The Macro Selection window opens.

8. Do one of the following:
- If you want to save the letters to each individual Fund folder as a Word document, select SaveFundStatementsFundID.
- If you want to save the letters to each individual Fund folder as a PDF document, select SaveFundStatementsFundIDPdf2007.
- If you want to save the letters to the Profile folder for each Fund Representative (based on the Fund Association code you select at run-time) as a Word document, select SaveFundStatementsRepIDCode.
9. Click Run. One of the following occurs:
- The SaveFundStatementsFundID macros will test to see that each Fund has a Fund folder, and if not it will create one. Then it will copy each statement to a separate document and save it into the appropriate Fund folder with a file name that combines the Base Period, Fiscal Year, and Fund ID code (for example, Fund_Statement_Export_12_2003_adam.doc).
- The SaveFundStatementsRepIDCode macros will test to see that each Fund Representative has a Profile folder, and if not it will create one. Then it will copy each statement to a separate document and save it into the folder for the Fund Representative’s Profile folder with a file name that combines the Base Period, Fiscal Year, Fund ID code, and Profile ID code (for example, Fund_Statement__12_2007_adam_307.doc).
Note: You can run more than one macro from the same merged document. Once you finish running the first macro, you can run the second one immediately. You do not need to re-merge the document.
