Setting Mailing Options

FIMS provides mailing options when performing several tasks, including exporting data for a mail merge, printing mailing labels, and running reports.

NOTE: This procedure covers the standard options that always appear on the Mailing tab for reports. Most exports also include the following options:

Final Sort for Zip Code

If you select this checkbox, records will be sorted based on the zip code that is currently in use by the exported address.

You should select this checkbox if you are sorting your mailing in zip code order (for example, for bulk mailings), especially if you use Alternate Addresses.

NOTE: If you clear this checkbox, records will be sorted by the zip code on the Profile 1 tab.

Ignore Allow Mail Flag in Profiles

If you select this checkbox, records are exported regardless of whether the Allow Mail checkbox is selected on the Profile record.

You should generally only select this checkbox if you are using the exported data to create a report rather than a mailing (since you should not generally exclude a record from a report only because they do not receive mail, but you would not want to send a mailing to someone who does not want to receive mail).

Capitalize Addresses

If you select this checkbox, all of the addresses in the exported data will be capitalized.

Use Org. Name in Ind. Profiles

If you select this checkbox, the organizational name will be exported, even if the Profile record is marked as Individual.

NOTE: Refer to System Options – Profiles (Export Ind Org Names With Address Type option) for more information about this option.

Use Profile Address

If you select this checkbox, the address on the Profile 1 tab will always be exported.

This option is especially useful if you are exporting historical data to create a mailing. Even though some of the data is historic, you would still want to export the most current address information.

In the FIMS Report Selections window, click the Mailing tab.

Select the type of Salutation you want to use.

NOTE: The Salutation you select is generally not important for reports (unless the report displays salutations), although it may affect the name that appears on the report. The Salutation is critical when you run an export to create a mailing. Refer to Customizing Salutations in the Profile Management module for more information about Salutations.

Select the desired Direct Mail to Address Type to direct mail to an alternate address type (only if available – otherwise the default address will be used).

NOTE: The Address Type you select is generally not important for reports (unless the report displays the address). This option is more useful when you are running exports for mailings.

NOTE: If you select an Address Type and there are Profile records without the selected type, the address on the Profile 1 tab will be used for that record.

Select the Date of Mailing for Alternate Address Control if you want to use a mailing date other than the current date (for example, the date when a mailing will be sent, rather than the current date). This field is used to auto select alternate addresses with a specified Begin Date and End Date.

NOTE: The date you select is generally not important for reports (unless the report displays the address). This option is more useful when you are running exports for mailings, and especially if you export records with date-specific Alternate Addresses.

NOTE: Mail recipients for whom a Bulk Mail Recipient was identified on the profile record (Profile 2 Tab), will receive only one letter for all addressees at that address when bulk mailing is used.

Once you have configured the desired mailing options, click the Send To tab to continue setting up the report. Refer to Setting Send To Options for more information.
