Submitted Recommendations

Tip: In order to access Submitted Recommendations in Control Panel, the user must have the staff role of Staff Reviewer or DonorCentral Administrator.

Maintaining Staff Codes

From Control panel, administrators can go to Control Panel\Site administration\Submitted recommendations to review submitted recommendations.

A grid shows the total number of submitted recommendations and information about each recommendation. The columns displayed will depend on the choices made in the Columns button:

  • Ref number
  • Grantee and advisor names
  • Fund name
  • Fund ID
  • Amount
  • Submitted date
  • Status
  • Advisor Anonymous?
  • Fund Anonymous?
  • Purpose
  • Special Request
  • Submitted by
  • Multi-payment?

View a submitted recommendation's details

1. Select View details from the recommendation's triple-dot menu to open a full-screen view or select the recommendation's reference number to open a side panel view without leaving the page.

Note: If you are viewing as an advisor, you won't be able to see the grant details if the grant has a different advisor. You'll be prompted to remove advisor view to continue.

2. Review the recommendation's information. Select Change or Cancel to take action.

3. If you are in full-screen view, select Back in your internet browser when you are finished to return to the grid view. If you are in the side panel view, select X when you are finished.

Change a submitted recommendation's status

You can change the status of a submitted recommendation.

1. Select Change status from the recommendation's triple-dot menu.

Note: If you are viewing as an advisor, you won't be able to change the status if the grant has a different advisor. You'll be prompted to remove advisor view to continue.

2. In Change status, select the new status for the recommendation.

The choices for the new status depend on the current status of the recommendation:

   a. Pending: Can be changed to Declined or Processed

  • Status of Pending means that a grant application has not yet been created in FIMS for the recommendation submitted in DonorCentral.

   b. Accepted: Can be changed to Pending, Declined, or Processed.

  • Status of Accepted means that a grant application has been created for the suggestion in the FIMS Grant module. The grant application is either Approved or not Approved. This status can include approved grants that were posted through the Grants Module and are sitting in AP ready to be paid as well as those grants that were fully paid in AP.

   c. Declined: Can be changed to Pending or Processed

  • Status of Declined means that the Recommendation was declined in the suggestion import window in FIMS or in DonorCentral

   d. Processed: Can be changed to Pending or Declined

  • Status of processed means that a staff user went to Control panel and manually changed the status of the recommendation to processed.
  • A recommendation marked "processed" will not appear in either the "pending" or "approved" totals in the donor portal.

   e. Canceled: Can be changed to Pending, Declined or Processed

3. Select Change.

The recommendation's new status displays in the grid.

Cancel a recommendation

By default, the recommendations are sorted in descending order by submitted date. You can change how the recommendations are sorted.

1. Select Cancel from the recommendation's triple-dot menu .

Note: If you are viewing as an advisor, you won't be able to cancel the recommendation if the recommendation has a different advisor. You'll be prompted to remove advisor view to continue.

2. Select Yes to confirm the cancellation.

Resend Emails for Recommendations and Grant Approvals

The following email types regarding recommendations and grant approvals can be resent from DonorCentral:

  • Recommendation submission confirmation
  • Recommendation cancellation confirmation
  • Grant Approval notification

Staff admins can resend emails from Control Panel > Site Administration > Submitted recommendations and the Grants tab when viewing as advisor. The advisor can resend an email from the Grants tab.

1. Resend the Recommendation submission confirmation email for a submitted recommendation.

Recommendation submission confirmation emails can be resent from Control Panel > Site Administration > Submitted recommendations or the Grants Tab

  • Staff Admins method from Control Panel: In Control Panel > Site Administration > Submitted recommendations, find the recommendation in question with Pending status and then click Resend email to resend Recommendation submission confirmation email. The resent email will be sent to the user who submitted the suggestion.

  • Staff admins viewing as advisor or the advisor from the Grants tab method: On the Grants tab, go to the Pending section and click Resend email to resend Recommendation submission confirmation email. The resent email will be sent to the user who submitted the suggestion. To resend the Recommendation submission confirmation email the recommendation needs to be in a pending status and not be approved. 

2. Resend the Recommendation cancellation confirmation email when a user cancels a recommendation.

  • In Control Panel > Site Administration > Submitted recommendations, find the recommendation in question with canceled status and then click Resend email to resend cancellation confirmation email.

3. Resend the Grant Approval notification email if suggestion has a grant number and is approved.

  • Staff Admin method from Control Panel: In Control Panel > Site Administration > Submitted recommendations, find the recommendation in question with Accepted status and then click Resend email to resend Grant Approval notification email. When resending Grant Approval notification emails, there will be a prompt for all advisors to the fund. You can choose to resend to all advisors to the fund or the advisor that submitted the recommendation. Check the checkboxes next to the advisors to which to send the Grant approval email and then click Send Now.

The advisor marked as Creator is the advisor who submitted the suggestion:

  • Staff admins viewing as advisor or the advisor on the grants tab: On the grants tab, go to the Approved section, and click Resend email to resend Grant Approval notification email. When resending Grant Approval notification emails, there will be a prompt for all advisors to the fund. You can choose to resend to all advisors to the fund or the advisor that submitted the recommendation. Check the checkboxes next to the advisors to which to send the Grant approval email and then click Send Now.

Filter details

1. Select Filter above the list of recommendations.

2. Set the filters you want to use. Available filter types are Status, Fund, Advisor, Grantee, Dates, and Multi-payment.

3. Select Apply filters.

4. To remove a single filter, select X from the summary of applied filters on the list.

To remove the filters and include all data for your submitted recommendations, select Filters, and then Clear all filters.

Sort recommendations

By default, the recommendations are sorted in descending order by submitted date. You can change how the recommendations are sorted.

To sort information within a column, select its header.

Choose columns

1. Select Columns , then select the columns you want to display and clear the columns you want to hide.

2. Select Apply changes.

Reorder columns

To rearrange columns of information, select a column header and drag it to the desired location.

Export to CSV file

To export submitted recommendations as a CSV file that can be opened in Microsoft Excel or another spreadsheet application, select Export. The file location will depend on your web browser's settings.

View more

To move to another page in the list, select Previous or Next , or select a specific page number.
