Voucher Tab

The Voucher tab allows you to view and edit Open Items and create Debit Memos, create Payment Items, or Print Checks for the Open Items.

Note: You cannot create new Vouchers directly from this tab. You must create them in Item Entry and post them to create Open Items.

Voucher Tab Fields – Top Section

Field

Description

ID Code

Read-only field that displays the Profile ID code of the Vendor.

Voucher

Read-only field that displays the sequential number used to identify the Voucher.

This number is generated by the system for administrative Vouchers and is the same as the Grant Number for Grant Vouchers.

NOTE: Administrative Open Items will be identified by the Voucher number, and Grant Open Items are identified by the Voucher number (Grant number) plus a sequential number (for example, 01 for the first open item and 02 for the second open item).

Vendor ID

ID number of the Vendor.

Payee ID

ID number of the Payee.

Amount Due

Read-only field that displays the total amount that is due for the Voucher (total of all payment lines).

Due Date

The date when the payment is due.

Note: If you edit the due date for a Grant Voucher, the date will not be updated on the Payment Plan in the Grantee and Grant Management module.

Selected Amt

The amount of any partial payment you want to make on the Voucher.

Hold

Checkbox that indicates whether payment for the Voucher is on hold.

Note: There is a separate Process Hold option available for unposted Vouchers that will prevent them from being posted to Open Items. Refer to the Item Tab on the Item Entry supertab for more information.

1099 Invoice

Checkbox that indicates whether the payment will be added to the Vendor’s 1099 amount (for Vendors that require a 1099 form).

Attention

The name of the individual to whom the check will be sent.

Payee

The name of the payee for the Voucher.

Address 1-2

The street address where the check will be sent.

City, St, Zip

The city, state, and zip code where the check will be sent.

Email

The email address associated with the payee on the Voucher.

Note: You can generate an email to the Contact by clicking the Send Email button next to this field.

Description

A brief description of the goods or services being paid for.

For administrative Vouchers, you must manually enter a description.

For Grant Vouchers, this field is automatically populated based on the Program Name from the Grant application.

For Debit Memos or Prepaids applied to existing payables in Open Items, this field is automatically populated with the Description from the original Voucher.

Voucher Tab Fields – Bottom Section

Field

Description

Line

The number of the payment line (for split payments).

Account

The natural account number of the expense account associated with the payment.

Description

A brief description of the line item.

Amount

The amount of the payment that is due for the selected line item.

Split Amount

The amount that will be paid as part of a split payment (based on the amount entered in the Selected Amt field.

Note: This is the only field in the payment line list that you can edit.

Cash Account

The natural account number of the cash account associated with the payment.

Voucher

The Voucher Number that the payment line is associated with.

Voucher Line

The line numbers that these payments are associated with on the original Voucher.

Processes Tab (A/P Open Items)

The Processes tab has three options that allow you select items for payment, place payables on or off hold, or print checks.
