Aged Trial Balance Report (Accounts Payable)

This report allows you to view all of the open Vouchers by vendor and age them into thirty-day categories (0-30, 31-60, 61-90, or 91+).

This is useful because it allows you to verify that you are paying your vendors promptly.

You can either run this report as a summary or detailed report. The summary displays one line for each vendor, with the total amount due in each age category. The detailed report includes information about each Voucher that is outstanding for a vendor.

NOTE: You can access this report from anywhere in FIMS by selecting Reports > Accounts Payable > Aged Trial Balance.

 

Aged Trial Balance Report Fields

Field

Description

Doc No.

The original Voucher number.

NOTE: This information is only available on the detailed report.

Apply No.

The Voucher number that the payment will be applied to.

NOTE: This information is only available on the detailed report.

Inv. No.

The number from the vendor’s invoice.

NOTE: This information is only available on the detailed report.

Date

The Due Date for the Voucher payment.

NOTE: This information is only available on the detailed report.

Type

The type of Voucher (for example, Invoice or Debit Memo).

NOTE: This information is only available on the detailed report.

Payee

The payee’s ID code and report name.

0 – 30

Voucher amounts that are between zero and thirty days past the aging date (current).

31 – 60

Voucher amounts that are between thirty-one and sixty days past the aging date.

61 – 90

Voucher amounts that are between sixty-one and ninety days past the aging date.

91+

Voucher amounts that are more than ninety days past the aging date.

 

Running the Aged Trial Balance Report

  1. In the Accounts Payable module, select Reports > Aged Trial Balance. The Aged Trial Balance Selections window opens.

  2. Select the Aging Date that you want to use as the basis for your report.
  3. Click the arrow in the A/P Items drop-down box and select the type of items that you want to include on the report: All, Admin, All Grants, Scholarship Grants, or Non-Scholarship Grants.
  4. Select the Report Type radio button that corresponds with the report format you want to use (Detail or Summary).
  5. Click OK.
  6. Verify the Send To destination, and then click the Run Report button.
